BOOKING TERMS AND CONDITIONS

By booking a trip with Tibetan Holidays, you agree to abide by our Booking Terms and Conditions.

Please, do not purchase international flights until your participation is confirmed by us, if possible, within 3-6 months ahead of departure.

Tour Reservation

  1. Send us an email inquiry to get a quote.

  2. You’ll receive a personalized travel service with one of our travel agents. Free modification and alteration based on your requests.

  3. We’ll send you and initial Tour Contract and Confirmation Sheet document. Please sign it, return it by email, and make the initial deposit. We’ll send you additional payment information. We require a 50% of the total price.

  4. Once we receive your deposit, you will receive a confirmation email and we will begin your tour arrangements. We’ll need the following information:

    • Your nationality

    • Gender: male/female

    • Room preference: single room or double shared room

    • Entry point to Tibet: Mainland China or Nepal

    • Transportation method to Lhasa: Plane, train or overland.

    • Destination after your trip ends: Mainland China or Nepal.

  5. Once you receive confirmation, you can purchase your international airfare.

  6. Within 1-7 days after we receive the deposit, we’ll send you a Tour Registration Form.

  7. Apply for your Chinese Visa at the Chinese embassy in your country. Obtaining a Chinese visa is the first step before entering Tibet. You will need to get the Chinese visa from the Chinese Consulate in your home country. We strongly recommend that you DO NOT MENTION your stay in Tibet on your visa application form, at the Chinese embassy. Tibet is a politically sensitive area and mentioning it as a destination on your application might get your visa rejected. You can use your return flight tickets and hotel reservation in other cities of China to get the visa. If necessary, we can provide you a Chinese tour itinerary from our agency, and you could modify the trip days & date as you wish. If you need to provide the plane ticket itinerary to the Chinese Embassy, please send us your flight ticket itinerary, so we can modify it before you show it to the Chinese Embassy. Don’t feel guilty about hiding the fact that you will visit Tibet, it is not a lie, and the Chinese government allows travelers to add a new destination to Tibet after you report your travel plans and get your Visa. Tourists are entitled to add or change a destination in their travel plans, including Tibet.

  8. Tourists will need to provide documentation to the Tibetan travel agency to apply for the Tibet Travel Permit. Tourists will be allowed to enter Tibet by train or by flight, only after they get the Travel permit. To apply for your Tibet Travel Permit, we require an email 20-30 day before your tour starting date, with the following documentation:

    • A clear scan of your unexpired Passport. (with minimum of 3 months validity)

    • A clear scan of your valid Chinese Visa.

    • Arrival airline or train reservations.

    • Departure airline or train reservations.

    • Hotel full address, telephone and name of the person who booked it in Nepal or in Mainland China.

  9. Once the Tibet Permit is issued, we will post it to your arrival address in China so that you can board the flight or train to Tibet.

  10. About 30 days prior to the tour start date, you will need to send us the payment of the 50% balance. If you confirm the booking within 30 days before the travel starting date, you will need to send the full payment.

  11. After the balance is received, we will send you an updated Confirmation Letter with the payment status.

  12. About 10 days prior to the tour start date, we will send you a final Confirmation Letter with complete information about your tour guides, flights, trains, etc.

PAYMENT METHODS

We accept the following payment methods:

  1. Bank Wire Transfer (domestic or overseas bank fees)

  2. Western Union (domestic or overseas bank fees)

  3. Cash in Local (CNY, USD and EURO are acceptable)

  4. PayPal (4% bank charge)

  5. Visa or Mastercard Credit Card (4% bank charge)

  6. Credit Card with POS machine in local (4% bank charge & 1.5% tax)

Note: The quotes we provide are based on Chinese currency, which is called CNY or RMB, the equivalent quote in USD is based on the most updated exchange rate between RMB and USD. The USD quote is subject to the fluctuation of exchange rates, though our RMB quote remains the same. Clients are responsible for all refund fees that could be charged by banks, credit cards or PayPal. We strongly recommend that you purchase full insurance, to cover any loss of deposit or cancellation charges.

CANCELLATION & REFUNDS

If you must cancel your trip, please inform us via email. Cancellation charges will be as follows, with no exceptions:

  1. Cancellation more than 60 days before departure: $150 of tour deposit.

  2. Cancellation within 60 days before departure: 100% of total tour cost.

  3. No show on tour departure day: 100% of total tour cost.

  4. Cancellation or withdrawal during the tour: 100% of total tour cost.

Notes: Cancellation and refund of airline or train tickets costs will follow the rules and regulations implemented by the corresponding airline company, or China Railway Corporation. Contact them directly for any refund.

Additional cancellation fees imposed by the service providers other than our company (may include but not limited to bank transfer fees, PayPal fees, airlines, hotels, railway, or cruise companies’ fees, etc.) will be deducted from the refund. If you need to change the date or change the tour on the same date, we will try to make the necessary arrangement, depending on availability. Please note that you may be required to pay additional costs.

ALTERATION OF ITINERARY

Before your booking is confirmed, alterations to your itinerary will be done free of charge. Please note that all changes are subject to availability and cannot be 100% guaranteed.

We reserve the right to modify the itinerary of your tour if air schedule or surface transportation changes, force majeure, and/or any events happen beyond our control. In this event, any of the increase or reduction of the tour cost will be calculated and charged/ refunded accordingly.

LUGGAGE ALLOWANCE

According to the regulations of China, the free baggage allowance within China is 20kg (44pounds) for the economy class, 30kg (66pounds) for the business class, and 40kg (88pounds) for the first class. Excess baggage charges are your sole responsibility. Regulations within China specify that all suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to load suitcases onto the aircraft.

MEDICAL ISSUES

Please inform us, prior to booking, of any physical, emotional, or mental condition which may require professional attention during the trip or may require the use of special equipment. If you require a wheelchair, you must provide your own small, collapsible wheelchair (though many Chinese hotels provide a wheelchair service). Certain features, and certain trips, are not wheelchair-accessible. We reserve the right to decline any trip participant whose condition, in our opinion, may affect the health, safety or enjoyment of other participants.

We cannot accommodate women past their sixth month of pregnancy.

You should consider all international travel risks and familiarize yourselves with health requirements applicable to the areas you intend to visit. You are solely responsible for checking the safety and security conditions, vaccination, and other health requirements in countries you are going to visit or transit. Travelers to Tibet need to be aware that this country is in a high-altitude plateau, so they are responsible for their own health if they travel to this part of the world. Visitors booking with us are automatically regarded as healthy to travel in Tibet. We will not be held liable if the traveler doesn’t disclose any health issue.

INSURANCE

The liability insurance that we buy for our customers is very basic and limited by strict regulations. We strongly recommend our customers to purchase international travel insurance coverage before departing your home country, to cover any trip cancellations, trip interruptions, emergency medical evacuation and medical expenses, baggage lost, etc. In case of medical emergency in remote places of Tibet, you will most likely be taken to the nearest medical facilities or airport by a car (or local way of transportation), where you can catch the next flight to a better medical facility in Mainland China.

RESPONSIBILITY

The responsibility of Tibetan Holidays and its affiliated branches is strictly limited. We shall not be responsible for any wrongful or negligent acts, omissions, or failure to act of any suppliers such as those of surface, air, and water transportation, sightseeing excursions, cruise/hotel accommodations, or of any third party not directly owned or operated by Tibetan Holidays.

Without limitation, Tibetan Holidays is not responsible for any injury, loss, or damage to person or property, death, delay, or inconvenience in connection with the provision of, or failure to provide, any goods or services occasioned by or resulting from–but not limited to–acts of God or force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of accommodations, mechanical or other failure of airplanes of other means of transportation or for the failure of any transportation mechanism to arrive or depart on time, sanitation problems, lack of medical care, or for any other cause beyond the direct control of Tibetan Holidays. Nor is Tibetan Holidays responsible for the stolen and loss of your valuable items due to your own negligence.

Tibetan Holidays is not responsible for your failure to comply with customs regulations.

Tibetan Holidays reserves the right to substitute hotels of similar quality at any time or to make changes in itinerary of similar quality, flights, or cruise ships, or to cancel the tour prior to departure. If Tibetan Holidays cancels, without justification, any tour prior to the commencement of the tour, Tibetan Holidays will send you a full refund of the money received. If you purchase an airline ticket separately, ensure that your travel agent explains the conditions under which the ticket is issued, Tibetan Holidays is not responsible for these airline ticket cancellation fees.

Tibetan Holidays reserves the right to correct promotional or pricing errors at any time, or to increase the program price in the event of cost increases due to changes in airfares, cruise fares, currency fluctuations, park fee increases, taxes, or fuel surcharges.

Please understand that not all sites and attractions are open every day of the year. Tibetan Holidays reserves the right to vary the sequence of sightseeing and/or to re-route the order of cities if that will enable you to visit all listed excursions. In either case, the itinerary content will be maintained to the extent possible and there will be no refunds for any unused or unavailable excursions.

Many of Tibetan Holidays tour packages include activities that require a high-fitness level. Such activities include boarding and going ashore from boats, climbing mountains, and entering and exiting tombs, caves, religious sites, etc. You will receive help and advice from our representatives, but all activities are undertaken at your own risk. Tibetan Holidays, its employees and agents will not be held liable.

LIMITATION OF LIABILITY

Tibetan Holidays acts as a coordinator for all persons taking the tours, arranging transportation, sightseeing and hotel accommodations. The company does not own, manage, control, or operate any transportation vehicle, any hotel, restaurant, or any other supplier of services. All receipts and tickets issued are subject to the terms and conditions specified by the supplier. Tibetan Holidays assumes no responsibility for the loss or damage to baggage or property, no responsibility for any injury, illness or death, no responsibility for any damages or claims howsoever caused arising directly or indirectly from accidents, loss, or damage to person or property, no responsibility for delays, transport failures, strikes, wars and uprisings or acts of God, etc., over which the Company has no control.

COMPLAINTS AND CLAIMS

If you are not fully satisfied with any service Tibetan Holidays has provided, please inform your travel consultant immediately to avoid similar problems happening again either before or during your trip.

If you want to complain or claim for compensation, you must inform us by email within 30 days upon finishing your tour. Please attach all relevant receipts and substantiating evidence to the letter of claim. Tibetan Holidays will not be liable for any claims letter made later than 15 days after you finish your tour.

Tibetan Holidays reserves the right to modify or rescind the terms and conditions in whole, or in part at any time with or without notice.
